GoHighLevel Missed Call Text Back Setup for Agencies (White-Label)

A text the moment your client misses a call, sent from a number that can actually deliver it, with the reply landing in their conversations ready to book, set up and tested under your agency's brand.

TL;DR — The direct answer

GoHighLevel missed call text back automatically texts a caller whose call went unanswered. GHL Ops sets it up in your client's sub-account under your brand: a number that can send, an A2P registration check, a message and booking link written for the client's business, repeat-call handling, and a test call so you know it works before a real lead hits it.

A 36-second look at how our team sets up missed call text back in your clients' GoHighLevel accounts.

When a local business misses a call, the caller rarely leaves a voicemail; they ring the next business on the list. Missed call text back is the simplest automation in GoHighLevel (GHL, HighLevel) for catching that lead, and it is also one that quietly fails when the number or the registration underneath it is not right.

What is GoHighLevel missed call text back?

It is a built-in HighLevel feature that sends an automatic text to anyone whose call to the business goes unanswered. The caller gets an immediate reply instead of silence, and the conversation continues by text in the client's HighLevel inbox, where the team can pick it up and book the appointment.

The built-in feature or a custom workflow

The built-in feature sends one message per missed call. When a client needs more — a wait before a second text, different wording for repeat callers, or a booking link that changes by service — we extend it with a workflow, which HighLevel itself suggests for handling repeat calls.

How do you set up missed call text back in GoHighLevel?

In the sub-account, go to Settings, Phone System, Voice, then Voicemail and Missed Call Text Back. Enable it, write the message, send a test to a number you choose, and save. That is the whole switch; the work is in the number, the timing and the message.

Those steps come from HighLevel's own article, Where and how to configure the missed call text back feature, which we follow for every setup.

Ring timeout: what counts as missed

A call only counts as missed once it goes unanswered past the incoming call timeout, set with a slider in the voicemail settings. HighLevel recommends 10 to 20 seconds: longer delays the text, shorter can cut off callers the team would have answered.

Writing the message

The message can include custom values such as the caller's name, but those only fill in when HighLevel already knows the contact — a first-time caller is usually unknown. So we write a message that reads well with or without the name, identifies the business, and gives the caller one clear next step.

Which number does the text come from?

From the number the caller dialled, if that number can send texts. If it cannot — a call-tracking number, a number pool or an unverified toll-free number, for example — HighLevel falls back to another number, which is why a text sometimes arrives from a different number than the one called.

The fallback order

  1. A number the business has already successfully texted that contact from.
  2. The sub-account's default outbound number.
  3. Another eligible messaging number in the location.

We check which of the client's numbers can send before switching the feature on, so the text comes from a number the caller will recognise.

Why does missed call text back depend on A2P 10DLC?

Because the text is a business SMS. HighLevel's article says local numbers need A2P 10DLC registration and toll-free numbers need toll-free verification before they are eligible to send. With no eligible number, the text does not go out, and the failed attempt is logged in the contact's conversation with the reason.

That log is the first place we look when a client says "it is not sending". Registration itself is covered by our A2P 10DLC registration service, and HighLevel's A2P campaign registration guide has the official steps.

How do you stop repeat texts and handle after-hours calls?

Every missed call triggers a text, including the same person calling twice in a few minutes. HighLevel suggests customising the workflow, for example with a wait step or tags for the first and second call, so a repeat caller is not texted the same message twice.

After-hours calls are where the feature earns its keep: HighLevel describes it as well suited to acknowledging callers when the team is unavailable. We write an after-hours version of the message that says when the team will be back and how to book in the meantime.

How do you connect missed call text back to a booking calendar?

By putting a booking link in the message and making sure the calendar behind it is ready to take the booking. The reply lands in the client's conversations like any other text, so the team can answer it, and anyone who prefers to book themselves can do so straight away.

The calendar side — availability, round robin, reminders — is covered in GoHighLevel calendar setup.

Why is missed call text back not sending?

Usually because no eligible number can send, the feature is switched off, the call was answered, or the contact is on Do Not Disturb. HighLevel respects DND and communication preferences, and an answered call never triggers a text. Our checklist:

  • Is Missed Call Text Back enabled under Settings, Phone System, Voice?
  • Is at least one number verified to send (A2P 10DLC for local, toll-free verification for toll-free)?
  • Does the contact's conversation show a logged failure and its reason?
  • Is the contact on DND, or was the call answered before the timeout?
  • Does the client expect WhatsApp? This feature sends SMS only; HighLevel has a separate Missed Call WhatsApp Back feature.

What do I get when GHL Ops sets it up for my agency?

A missed call text back that works the first time: the client's numbers checked for sending, A2P status confirmed, the ring timeout set, a message and after-hours version written for the business, repeat-call handling, a booking link to a working calendar, and a test call. All under your brand.

  • Included in your plan: this work draws from your monthly GHL Ops hour block — Starter $480/month for 40 hours, Growth $1,000/month for 100 hours, Scale $1,440/month for 160 hours. No setup fees, no contracts.
  • Messaging usage is separate: HighLevel counts these texts toward the account's phone messaging usage.
  • Built in your account: you add us as team members with permissions you control, and you own 100% of the work.
  • White-label: we never contact your clients directly, unless you ask us to run onboarding or help them with tasks — then we do it as your team, under your brand.

Missed call text back is one part of our GoHighLevel setup services; the follow-up after the first text runs through our workflow automation.
